The calendar (Schedules)

Schedules is the calendar of Flicx Sheet. It shows your events, team meetings and reminders, and it also picks up the due dates of your to-dos and the dates in your sheets, so you see everything for a day in one place.

What Schedules is

Schedules is a calendar. You add the things you must remember on a day: a function, a doctor's visit, the last date for school fees. The app also brings in dates from other parts by itself, so you do not write anything twice.

  1. Use the arrows beside the month's name to go to the month before or after. Today brings you back to this month.
  2. The Month and Agenda buttons change how the calendar is laid out.
  3. The green Add button adds something to the calendar.
  4. The row of labels shows the kinds of thing on the calendar. Click a label to hide that kind. Click it again to show it.
  5. Click a day to choose it. Today's date has a green circle. A day shows up to three things. If there are more, it says how many more.
  6. The panel on the right lists everything on the day you chose, with the time of each.

TipOn a phone there is no room for words inside the days, so each day shows small dots, one for each thing. Tap a day to open it as a page of its own. Tap the arrow at the top left to go back to the month.

Month and Agenda

There are two ways to look at the calendar. Month is the usual grid of days. Agenda is a plain list of what is coming, which is easier to read when you only want to know what is next.

  1. Press Agenda at the top right of Schedules.
  2. Read down the list. Each day that has something is a heading, and the things on that day are under it. Days with nothing are left out.

Agenda shows the next 60 days, starting from today. To look at an earlier date, or further ahead, go back to Month and use the arrows.

Adding something to the calendar

Add an entry for anything that happens on a day and that you do not want to forget.

  1. Click the day in the month, then press the green Add button. A small window opens. Its top row has five pictures, one for each kind of entry. Leave it on Event, or click another picture. The table below explains each kind.
  2. Type a title, for example Anitha's sangeet. The title is needed. Without it the entry is not saved.
  3. Check the date. Set the time it starts and the time it ends. If it has no fixed time, press All day and the two times go away.
  4. Use the three small buttons if you need more: Repeat, Details and Attach a file. They are explained in the next section.
  5. Press Add. The entry appears on its day.

Please noteA To-do added here lives only on the calendar. It does not go into your to-do lists. For lists with steps, reminders and files, use To-do lists. Their due dates come to the calendar by themselves.

Repeat, details and files

The three small buttons at the bottom of the window add more to an entry. Each one opens its own part when you press it.

RepeatMakes the entry come again. Choose Daily, Weekly, Monthly, Yearly or Custom…. Use Yearly for birthdays and anniversaries.
DetailsOpens a box where you can write more: the address of the hall, what to carry, whom to call.
Attach a fileAdds files from your device to the entry: an invitation, a ticket, a bill. The small number on the button shows how many are attached.

More about Repeat:

  • Custom… lets you say every how many days, weeks, months or years. For weeks you can also pick the days, for example every week on Monday and Thursday for tuition.
  • Until sets the last day. Leave it empty and the entry repeats without an end.
  • A line beside Until says in words how the entry will repeat, so you can check it.

More about files:

  • An attached file shows as a small label with its name. Click the label to look at the file.
  • The files are kept in your Library, in a folder named Calendar.
  • The cross on a label takes the file off the entry. The file itself stays in the Library.

Quick ways to add: right-click and double-click

On a computer you do not have to go up to the Add button every time.

  1. Right-click the day you want.
  2. Choose the kind: Event, Team meeting, To-do, Note or Bookmark. The window opens with that kind and that day already set.
  • Double-click a day to add an Event on it at once.
  • The Add button in the panel on the right opens the same menu for the day you chose.
  • In Agenda, right-click the heading of a day for the same menu.

TipOn a phone, tap a day to open it and then tap Add. The same list of five kinds opens.

Changing, ticking and deleting

Click the day to see its entries in the panel on the right. Each entry you added has two small buttons at its right end.

  • The pencil opens the entry so you can change its title, date, time or anything else. Press Save when you finish. The kind cannot be changed. To turn an Event into a Team meeting, delete it and add it again.
  • The bin deletes the entry, after asking you. If the entry repeats, every repeat of it is removed.
  • A To-do has a tick box in front of it. Click the box to mark it done. Its title is then struck through.

Some entries have a button of their own: Join call on a team meeting, Open link on a bookmark, Open note on a note.

Please noteThe pencil and the bin are shown only on entries you added on the calendar yourself. A team meeting added by someone else, a date from a sheet and the due date of a task are changed where they come from.

Things that come onto the calendar by themselves

This is what makes Schedules useful. Dates you have already written elsewhere in Flicx Sheet show up here without any work.

A date in a sheet and the due date of a task both reach the calendar.
  1. Sheet dates. A sheet can have a column of the kind Calendar. Every date in that column appears on the calendar, on its day. The entry shows the sheet's name and the column's name, and an Open sheet button.
  2. To-dos. Every task in your to-do lists that has a due date appears on its due day, with a tick box. Tick it on the calendar and it is ticked in the list too.

A third kind also comes by itself: Captures. A photo you take with the Camera of the phone app is shown on the day it was taken, with a View photo button.

To give a sheet a Calendar column, add a column and choose Calendar as its kind. See Columns. A plain Date column does not show on the calendar.

Showing only some kinds

When a month gets crowded, hide what you do not need for the moment. The row of labels under the top bar has one label for each kind.

  • Click a label to hide that kind. The label fades and is struck through. Click it again to bring the kind back.
  • Hide all hides every kind at once. The button then reads Show all.
  • To see just one kind, press Hide all and then click the one label you want.

Hiding does not delete anything. It only changes what you see.

Team meetings

If you are in a team, you can put a meeting on the calendar for everyone in it. This is useful for a weekly staff meeting or a housing society committee meeting.

  1. Open the window to add an entry and click the Team meeting picture in the top row.
  2. Type a title and set the date and time.
  3. Choose the team from the list. If you are in no team, the window says Join or create a team first.
  4. Press Repeat if the meeting happens regularly, and choose how often.
  5. Press Add.

Everyone in the team sees the meeting on their own calendar, with the team's name beside the time. Only the person who added it can change or delete it. On the day, press Join call on the entry to join the team's call.

Common questions

I cannot change an entry. There is no pencil. The entry did not start on the calendar, or someone else added it. A sheet date is changed in its sheet: press Open sheet. A task's due date is changed in To-do.

My date column does not show on the calendar. Only columns of the kind Calendar show here. A column of the kind Date does not.

A day says +2 more. Where are they? A day in the month has room for three. Click the day and the panel on the right lists all of them.

I pressed Add and nothing was saved. An entry needs a title. The app also checks that the end time is after the start time, that a team meeting has a team, and that a bookmark's address starts with http:// or https://.

Will the calendar remind me? The calendar shows what is on each day. For a reminder at a set time, add the thing as a task in To-do lists and set a reminder there.

How do I see only my to-dos? Press Hide all, then click To-dos.
