Notes
Notes are for anything that does not fit in rows and columns: a menu, a list of points for a meeting, directions to a house. This chapter shows how to write notes, keep them in workbooks, float a note over a sheet, stick a note to a row, and share a workbook.
What notes are for
A sheet is good for lists. But some things are just words: what the caterer agreed to, points to tell the tuition parents, the address of the hall with landmarks. A note is a page where you write such things freely, with headings, lists, tick boxes and pictures.

On a phone, tap More in the bar at the bottom and then Notes.
- Press New note to start a note.
- The workbooks are in a row across the top. A workbook is a folder of notes. All notes shows the notes of every workbook together.
- The notes are the tiles below. Click a tile to open the note.
- Move the mouse over a tile and press the three dots at its corner for everything else you can do with that note. A right-click on the tile opens the same menu.
Search notes, at the top, shows only the notes that have the word you type.
Workbooks: folders for your notes
Workbooks keep notes that belong together in one place: one for the wedding, one for the shop, one for the children's school. Every note is in one workbook.
You start with one workbook, My notebook. It is marked default. A new note goes there unless you have another workbook open.
- Press New workbook, the last card in the row of workbooks.
- Type a name, for example
Wedding, and press Create. - Click the new workbook's card to open it. Notes you make now go into this workbook.
Move the mouse over a workbook's card and press the three dots on it for its menu.

The default workbook cannot be deleted, so there is always a place for your notes.
To put a note in another workbook, open the note's three-dot menu and choose Move to workbook…, then click the workbook. Copy to workbook… leaves the note where it is and puts a copy in the other workbook.
Writing a note
A note opens in a small window of its own. You type in it as you would on paper. There is no Save button to remember: the note saves itself a moment after you stop typing.
- Click the title at the top and type a name for the note. A note without a name is called Untitled note.
- Use the row of tools to shape what you write. The table below says what each one does.
- Watch the small word beside the title. Unsaved means you have just typed. Saving means it is being saved. Saved means everything is safe.
- Press the cross to close the note when you finish. The other button there opens the note in a floating window, explained further down.

| Highlight | Colours the chosen words, like a highlighter pen. There are eight colours. |
| ? | Shows the keyboard shortcuts. |
TipYou can also start a list by typing. Type - at the start of a line for a bullet list, 1. for a numbered list, or # for a heading.
If the word beside the title says Not saved, the note could not be saved just then, usually because the internet dropped. Keep the note open until it says Saved again.
Pictures in a note
A note can hold pictures between the words: the photo of a sample saree, a hand-drawn map, a visiting card.
- Click in the note where the picture should go.
- Press the Picture tool.
- Choose Upload a picture to pick one from your device, or From Library to pick one from your Library. On a phone or tablet there is also Take a photo.
- Click the picture in the note. A small bar appears above the note.
- In that bar choose a size: small, medium or full. Type a line in Caption if you want words under the picture.
The same bar has a bin to remove the picture from the note. You can also copy a picture from anywhere and paste it straight into a note.
Notes that float over the app
A note does not take you away from your work. Its window sits on top of whatever is open, so you can look at your Guest list sheet and write in the note at the same time. Go to another tab of the app and the note stays where it is.
- Drag the note by its top bar to move it out of the way.
- Press the floating window button to put the note in a separate small window. Where your browser allows it, that window stays on top of everything else on the screen. To bring it back, press Put the note back in the page in that window.
- Drag the bottom right corner, or the right or bottom edge, to make the note bigger or smaller.
- You can open several notes together. Click a note to bring it to the front.
- Closing a note does not delete it. It is in its workbook on the Notes page.
TipOn a phone a note fills the whole screen, and there is no floating window. Tap the cross to close the note and return to where you were.
Sticking a note to a row of a sheet
Sometimes a row needs more words than a cell can hold. For the caterer's row in your Vendors sheet, you may want to keep the whole menu that was agreed. Stick a note to that row. Anyone looking at the row sees that it has a note, and one click opens it.
- Look at the end of the row, on the right. A row that has notes always shows a small speech bubble there, with a number when there is more than one note.
- Click the bubble. A menu lists the notes on that row. Click a note to open it. Press Add another note to stick one more.
- For a row with no note, move the mouse over the row. A bubble with a plus sign appears at its end. Its name is Add a note to this row. Click it and a new note opens, already stuck to that row.
In the menu, each note has two small buttons beside it. Unlink from this row takes the note off the row but keeps it in your notes. Delete note deletes it for good, and is shown only on notes you wrote.
You can also stick a note to one cell. Right-click the cell and choose Add a note, or Attach an existing note… to use a note you already have.
Please noteA note is in one place at a time. If you attach a note that is already stuck to another row, it moves to the new one.
A Notes column in a sheet
If most rows of a sheet need notes, give the sheet a column for them. Add a column and choose Notes as its kind. See Columns.
- Each cell of a Notes column holds links to notes. One cell can hold several.
- Open a cell to see its notes. Click a note to open it.
- Link a note adds a note you already have. New note writes a new one and links it.
- Unlink from this cell removes the link. The note itself stays in your notes.
TipA cell with a long piece of text can be turned into a note. Right-click the cell and choose Convert to note…. The full text moves into a new note in your default workbook, and the cell links to it.
Notes about a whole sheet
Some things are about the sheet itself, not about one row: what the sheet is for, how a column should be filled, where the figures come from. Keep these with the sheet, so that anyone who opens it later can read them.

- In Purpose, type a line or two on what the sheet tracks.
- In Sheet notes, write anything worth remembering about the sheet.
- Under Notes, press the tile with the plus sign to write a full note attached to the sheet. Click any other tile to read that note. The note opens inside this same window, with a Back arrow to return.
Press Save to keep the purpose and the sheet notes. Flicx Companion reads them too, so a clear purpose helps it find the right sheet when you ask for something. See Flicx Companion.
Common questions
Where is the Save button? There is none. A note saves itself as you type. Look for the word Saved beside the title.
I closed the note. Is it gone? No. Open Notes and it is in its workbook. Notes are also listed in the Library, under the kind Notes in the Gallery.
I deleted a workbook. Where are its notes? They moved to your default workbook, My notebook unless you renamed it.
Can two notes be open together? Yes. Each opens in its own window. Drag them apart.
Can the people I share a workbook with edit the notes? No. A shared workbook is read only.
Why does a note say Read only? Someone else wrote it. Only the person who wrote a note can change it. You can still read it.
