Quick Fill forms

Turn a sheet into a simple form that other people fill in from a link. Every answer they send becomes a new row in your sheet.

What a Quick Fill form is

Sometimes you want other people to add to your sheet, but you do not want them to see the sheet or change what is already there. A Quick Fill form does this. You choose which columns to ask about, send a link, and people answer the questions on their phone or computer. Each answer is added to your sheet as a new row.

A person fills in the form and presses Submit. Their answers appear as a new row.
  • A tuition teacher collects admission details from parents.
  • A family collects who is coming to a wedding, and how many people.
  • A housing society collects complaints or visitor details.
  • A shop collects orders from regular customers.

The people who fill the form do not need a Flicx Sheet account, and they never see your sheet or anyone else's answers. The link lets them do only three things: open the form, attach a file to it, and send it.

Open Quick Fill

First make the sheet and its columns, because the form is built from the columns. For example, a sheet called Admissions with the columns Student name, Class, Parent phone and Photo. See Columns if you have not added columns before.

The Quick Fill button is at the top right, just before Share.
  1. Open the sheet, then click the small clipboard button at the top right of the screen. When you hold the mouse over it, it says Quick Fill: share a form that adds rows to this sheet.

Please noteThe button is there only when a sheet is open and you are allowed to change it. Building a form is done on a computer. People can fill the form on any phone or computer.

Build the form

The Quick Fill window has your forms and the sharing part on the left, and the form itself on the right. The first time you open it, a form is already started for you: its title is the name of the sheet, and there is one question for each column.

The Quick Fill window. The numbers match the steps below.
  1. Under Questions, one per column, tick the columns you want to ask about. Untick the ones you will fill in yourself later.
  2. In Question, write the question the way you would ask it. It starts as the name of the column. For example, change Student name to Name of the student.
  3. In Help text (optional), add a short line to guide the person, such as: As written in the school records.
  4. Tick Required for a question that must be answered. The form will not be sent until it is.
  5. Leave the Share part for now. You will use it in the next section.
  6. Click Save form. A small message says Form saved.
  • The small label beside each column says what kind of answer it takes, such as text, number or date. A column that holds pictures or documents says upload.
  • Columns you have hidden in the sheet are not offered. To-do columns and notes columns are not offered either, because only you can fill those.
  • The questions follow the columns of the sheet. To ask about something new, add a column to the sheet first, then open Quick Fill again.

Give the form a title, a description and a picture

These are at the top of the right side of the window. They are the first things a person sees, so use them to say who is asking and why.

  1. Type a name in Form title, for example Admissions 2026.
  2. Type a line or two in Description (optional), for example: Sharma Tuitions, Classes 8 to 10. Please fill one form for each child.
  3. Click Add a header image and choose a picture from your computer, for example your shop's board or the wedding card. It is shown across the top of the form.
  4. Click Save form.

Once a picture is added, two small buttons appear on it: Change to pick another picture and Remove to take it off.

Share the form with a link

People reach your form through a link. You make the link in the Share part on the left of the window.

The Share part: choose how long the link works, make it, then copy it.
  1. Choose how long the link should work: Never expires, 1 day, 7 days or 30 days.
  2. Click Create link. The form is saved, the link is made and copied for you, and a strip says Link ready.
  3. Paste the link into a message, an email or a WhatsApp group. To copy it again later, click the copy button on the link. The button beside it opens the form, so that you can see it as others will.
  4. To stop a link, click the bin button on it. The link is revoked and goes from the list.
  • Anyone who has the link can fill in the form. If someone forwards it, the next person can fill it in too.
  • You can make several links for one form, for example one for each class, each with its own time limit.
  • Under each link you see when it expires, or No expiry, and how many responses have come through it.

TipFor something with a last date, such as admissions that close on 12 July 2026, choose 7 days or 30 days so that the link closes on its own.

What the person filling it sees

The link opens a page headed Quick Fill form. There is nothing to install and no sign-in.

The form on a phone, as the person filling it sees it.
  1. At the top are your picture, the title and the description. A red star marks the questions that are Required.
  2. Each question has a box for the answer. Your help text is shown in small letters under the question.
  3. For a picture or a document, the person taps Add a photo or Upload a file and chooses it from their phone or computer.
  4. They press Submit. The page says Thanks, your response was recorded.

The kind of box depends on the kind of column:

  • Clear form empties all the answers so that the person can start again.
  • After sending, Submit another response opens a fresh form. A parent with two children can fill it twice.
  • If a required question is left empty, the form is not sent and a line names the question that is missing.

Where the answers go

Each time someone presses Submit, a new row is added to your sheet. Each answer goes into the column its question belongs to. Columns you did not ask about are left empty in that row, for you to fill in.

  • A photo or a file the person attached is kept in that row, in the picture or document column, like a file you added yourself.
  • Each file must be under 25 MB. A bigger file is refused and the person is told so.
  • When you close the Quick Fill window, the sheet is loaded again, so answers that came in while it was open are shown.
  • From there the answers are ordinary rows. You can sort them, filter them, correct them or delete them. See Sort, filter and search.

More than one form, and deleting a form

One sheet can have several forms. For example, a short form for parents with only three questions, and a longer one for your staff.

  1. In the Quick Fill window, click New form on the left.
  2. Give it a title, tick its columns and click Save form. It joins the list under Forms.
  3. Click a form in the list to open it. Its own links are shown under Share.

To remove a form, open it and click Delete form at the bottom left, then confirm. Its links stop working. The rows it already added stay in the sheet.

Common questions

Do people need an account to fill my form? No. Anyone who has the link can fill it in.

Can the people filling the form see my sheet? No. They see only the questions. They cannot see your sheet or what other people answered.

Can I tell who sent an answer? Only from what they typed. Nobody signs in, so if you need to know who it is, add a question for their name or phone number and tick Required.

What happens when a link expires or I revoke it? The person who opens it sees This form can’t be opened, with a line saying why. Answers already sent stay in your sheet.

Can I change the questions after sharing the link? Yes. Change them and click Save form. The same link shows the changed form the next time it is opened.

Can one person fill it more than once? Yes. Each time adds one more row.

Where do I see all my form links? In the Quick Fill window of that sheet, under Share. Form links are not in the Shared links list at the top of the app. See Sharing with others for that list.
