Teams and calls
Make a team of the people you work with, share sheets with all of them at once, see who else is in a sheet, and talk to them on a call from inside the app.
What a team is
A team is a group of people in Flicx Sheet, with a code to join it. It saves you from sharing things with each person one by one. Anyone in the team can share a project they own with the team, whole or one sheet at a time, and everyone in the team can then open it.
- The family members planning a wedding together.
- The staff of your shop, who all look at the stock sheet.
- The committee of a housing society.
- Teachers of a tuition centre.
A team also has its own call, which the app calls a conference, where members can talk, show their screen and look at a sheet together.
Where to find itTop bar›Teams
On a phone, tap the button with three dots at the bottom of the screen and choose Teams.
- New team makes a team.
- The Join code and the Invite link are what you give to people so that they can ask to join.
- Join a team is where you type a code that someone else gave you.
- Start a conference begins a call for the team.
Make a team
- Click the Teams tab.
- Click New team. On a phone, tap the New team button at the bottom of the screen.
- Type a name in Team name, for example Wedding family.
- Click Create.
The team opens. You are its owner and its first admin. Nobody else is in it yet.
TipTo change the name later, click the pencil beside the team's name. On a phone, open the team's menu and choose Rename the team.
Invite people to a team
People get into a team in two steps: they ask to join, and an admin lets them in. This way a code that reaches the wrong person does not let them in by itself.
What you do, as the admin
- Open the team and stay on the People tab.
- Find the card with the Join code, six digits, and the Invite link.
- Click the copy button beside the code or beside the link, and send it to the person. Either one works.
What the other person does
- They sign in to Flicx Sheet. They need an account of their own.
- If you sent the link, they open it. If you sent the code, they open Teams, type the code under Join a team and press Ask.
- They see a message that they have asked to join, and that an admin will let them in.
Let them in
- The request comes to you as a notification under the bell, and it is listed in the team under Waiting to join. Press Accept to let the person in, or Decline to refuse. On a phone the first button says Let them in.
- Once they are in, they appear under People. An admin can change a person between member and admin, or click the cross to remove them.
The person is told your answer in their own notifications.
Please noteIf the code or the link has gone to someone it should not have, click the button with two round arrows beside the invite link. It makes a new code and a new link, and the old ones stop working. On a phone, open the team's menu and choose New code and link.
Members, admins and the owner
| Who | What they can do |
|---|---|
| member | Open everything shared with the team. Share a project they own with the team. Start and join the team's call. Leave the team. |
| admin | Everything a member can do. Also see the join code and invite link, accept or decline requests, change people between member and admin, remove people, rename the team, and stop anything being shared with the team. |
| owner | The person who made the team. Everything an admin can do, and the only one who can delete the team. |
- To leave a team you did not make, open it and press Leave. What the team shared stops being yours to open.
- When an admin removes someone, that person loses what the team shared with them.
- The owner can press Delete to remove the whole team. Everyone in it loses what was shared through it, and this cannot be undone. The projects themselves are not deleted. They stay with the people who own them.
See who else is in a sheet, and where
When two people work in the same sheet, it helps to know where the other person is, so that you do not type over each other. Flicx Sheet shows this whenever someone else has the same sheet open. It works for any shared sheet, with or without a team.
- Look beside the name of the sheet. Each round face is a person who has this sheet open now. Hold the mouse over a face to see their name and whether they are editing a cell, on a cell, or just on the sheet. Click the face to jump to the cell they are on.
- In the sheet itself, the cell another person is on has an outline in that person's colour.
- Up to five faces are shown. If more people are in the sheet, a small number such as +2 follows the faces.
- The faces show people in this sheet only. Someone looking at another sheet of the same project is not shown here.
- What the other person types appears in your sheet without you doing anything.
Start or join a call
Every team has its own call, called a conference. You talk with your voice, and you can show your screen. You do not need any other app.
Where to find itTeams›the team›Conference
- Open Teams and click the team.
- In the Conference strip at the bottom, press Start a conference. Your browser may ask whether Flicx Sheet may use the microphone. Allow it.
- The others in the team get a notification that you started a conference. They open the team and press Join.
Any member can start the call. While a call is on, a small green dot shows beside the team's name in the list of teams.
- Mic on means others can hear you. Press it to mute yourself. It then says Muted.
- Share screen shows your screen to everyone in the call. Press Stop sharing to end it.
- Live sheet puts a sheet in front of everyone. See the next section.
- Guest link invites someone who is not in the team. See the section on guests below.
- The chat button opens the team's chat, where you can write messages and send files and sheets to the team.
- Leave takes you out of the call. The call goes on for the others.
- The call follows you. You can go to Sheets or the Library and keep talking.
- The small down arrow folds the bar into a small pill, so that it is out of your way. The up arrow on the pill opens it again.
- When someone else shares their screen, it opens in a window on top of the page. A button on the bar hides it and shows it again.
- End for everyone closes the call for all the people in it. If a call was left on and you are not in it, Close room in the Conference strip closes it.
- You can be in one team's call at a time. Joining another team's call leaves the first one.
Please noteSharing your screen needs a computer. Phone browsers do not allow a web page to show the screen, so on a phone the button says No screen share. You can still talk, and still see a screen that someone else is sharing.
Look at a sheet together during a call
Instead of showing your whole screen, you can put one sheet in front of everyone. Each person opens the real sheet on their own screen, so the words stay sharp, and those with edit access can type in it.
- First share the sheet or its project with the team, as described above. Only things shared with the team can be presented.
- In the call bar, press Live sheet and pick the sheet from the list under Present a shared sheet.
- Everyone in the call sees a line saying that you are presenting it, with an Open live sheet button. They press it to open the same sheet.
- When you are done, press Stop presenting.
While you are in the call, the Shared projects and sheets tab of the team also has a Present live button on each row. It does the same thing.
TipOn the live sheet, a Live cursor switch appears beside the sheet's name. With it on, the others see which cell you are on while you talk them through the sheet.
Invite a guest to a call by link
Sometimes you want one outside person on a call: the caterer, the auditor, a parent. They do not need a Flicx Sheet account and they do not become part of the team. You send them a guest link.
- While you are in the call, press Guest link on the call bar. Under People, choose how many people may use the link: 1, up to 5 or up to 25.
- Press New link. The link is copied for you.
- Send the link to your guest. To copy it again, use the copy button beside the link.
- The guest opens the link in a browser, types their name under Your name, and presses Join the call.
- The guest sees Waiting to be let in. Nobody gets into the call just by having the link.
- Everyone in the call sees a strip saying that the guest is waiting to join. Any of them presses Let in, or Not now to refuse.
Once in, the guest presses Join the call again to connect, with their microphone off to begin with. They are shown with the word Guest beside their name, so that everyone knows they are not from the team.
| A guest can | A guest cannot |
|---|---|
| Talk and listen | Join the team |
| Share their screen, from a computer | Change any sheet |
| Read the team's chat from the moment they arrive, and write in it | Come back after the call ends |
| Open the sheets shared with the team, to read | See anything that is not shared with the team |
- A guest link works for 2 hours at most, and every guest link stops working when the call ends.
- The panel shows how many places are left on each link, and the names of the guests who used it.
- The bin button takes a link back, so that nobody new can join with it. To put out a guest who is already in the call, press Remove beside their name.
Please noteThink before you invite a guest to a team that has private sheets shared with it. For as long as they are in the call, a guest can read the team's chat and the sheets shared with the team.
Common questions
Does everyone in a team see all my sheets? No. They see only what has been shared with that team. Your other projects stay private.
Can a member share my project with the team? No. Only the owner of a project can share it with a team.
Someone has the join code. Are they in the team? Not yet. The code only lets them ask. An admin has to accept them.
Can I be in more than one team? Yes. All your teams are listed on the left of the Teams page.
Is there video on a call? A call carries your voice and, if you choose, your screen. There is no button for a camera.
The call bar is covering my sheet. What can I do? Press the small down arrow on the bar to fold it away. The call carries on.
How is a team different from a share link? A share link gives one project to whoever opens it. A team is a lasting group: you can share many things with it over time, and remove a person from all of them at once by removing them from the team.
