Nothing in Flicx Sheet is seen by anyone else until you share it. When you do share, you choose how much the other person gets. Read this page once, slowly. It is worth knowing exactly who can see what.
The Share window has three tabs, one for each way of sharing a project or a sheet.
Invite people: you pick a person who already uses Flicx Sheet. They get the whole project, every sheet in it.
Share links: you make a link and send it. Whoever opens it signs in and joins the whole project.
Public sheet: you make a link to one sheet only. Whoever has the link can read that sheet without signing in. They cannot change anything.
What you share
Who can open it
What they can do
A project, by Invite people
Only the person you picked, signed in
Read every sheet in it. Change them too, if you chose editor.
A project, by Share links
Anyone who has the link, after they sign in
Read every sheet in it. Change them too, if it is an edit link.
One sheet, by Public sheet
Anyone who has the link. No sign-in.
Read that one sheet. Nothing else.
A Library file, by link
Anyone who has the link. No sign-in.
See the file and download it.
A to-do list or a notes workbook, by link
Anyone who has the link. No sign-in.
Read it. Nothing else.
Please noteA link works for whoever holds it. If the person you sent it to passes it on, the next person can open it as well. Send a public link only for things you are comfortable being read by anyone who gets the link.
TipWorking with the same group of people often? Make a team and share with all of them in one go. See Teams and calls.
Sharing a project is done on a computer, from the project you own.
Where to find itSheets›Top bar›Share
Click the Sheets tab and open the project you want to share.
Click Share at the top right of the screen. The Share window opens.
Pick one of the three tabs: Invite people, Share links or Public sheet.
There is a second way in. In the list of projects on the left, move the mouse over the project, click the three dots beside its name, and choose Share….
Please noteYou see Share only on projects that are yours. If someone else shared a project with you, you cannot share it further.
Use this when you know exactly who should get in, for example your brother Rahul who is helping with the wedding. Only that person gets access, and you can see their name in the list.
Invite people: choose what they may do, search for them, then click their name.
Choose viewer or editor. A viewer can read every sheet in the project but change nothing. An editor can also change what is in the sheets and how they are set up.
Type the person's email address or name in Search by email or name. Type at least 3 letters.
Click the person in the list that drops down. They are added at once.
To change what someone may do later, change viewer or editor beside their name. To take their access away, click the cross at the end of their row and press Remove.
The person gets the whole project, so they see every sheet in it, including sheets you add later. The next time they look at their projects, yours is in their list, marked as shared with them.
Please noteThe search only finds people who already have a Flicx Sheet account. If it says no one matches, the person may not have joined yet. Send them a share link instead: a share link works for anyone.
Use this when it is easier to send a link than to look each person up, for example to the five cousins in the family WhatsApp group. Each person who opens the link signs in to Flicx Sheet and joins the project.
Share links: make a link, send it, and see who has used it.
Click New view-only link for people who should only read, or New edit link for people who should also make changes.
The link is copied for you straight away, and a strip says Link ready. Paste the link into a message, or press Copy to copy it again. On a phone or tablet the strip may also have a Share button that opens your usual sharing choices.
To stop a link, click the bin button on its card and press Revoke link.
Everyone who has used the link is listed under it. Change a person between viewer and editor, or click the cross beside them to remove them.
When a person opens the link and signs in, they see a small message that says they have joined, with the name of your project and whether they have viewer or editor access.
A share link gives the whole project, every sheet in it.
You can change a live link from view-only to edit, or back, with the small list at the start of its card. This applies to people who open it from then on.
A person you removed is still shown under the link, marked removed. Press Restore to let them back in.
Share links to a project do not run out on their own. They work until you revoke them.
Please noteRevoking a link stops new people from joining with it. People who already joined keep their access until you remove them. If there are several, Remove all removes them together.
Use this when people only need to look, and should not have to sign in. For example, the list of tuition timings for parents, or the rate list of your shop.
Where to find itSheets›Top bar›Share›Public sheet
Public sheet: first choose how long the link should work, then make it.
Open the sheet you want to show, click Share, then click the Public sheet tab. Choose how long the link should work: never expires, expires in a day, expires in a week or expires in a month.
Click New public link. The link is copied for you, and a strip says Link ready.
Paste the link wherever you want to send it.
The link shows that one sheet only, and nothing else in the project. If you opened Share from the list of projects and no sheet is open, the tab asks you to open a sheet first.
You can make more than one link to the same sheet, each with its own time limit.
Under each link you see when it was made, how many times it has been opened, and when it expires.
You cannot tell who opened a public link. Nobody signs in, so there are no names, only a count.
To stop a link, click the bin button beside it and press Revoke link. It stops working straight away, for everyone who has it.
The person does not need the app or an account. The link opens as an ordinary web page in their browser.
A public sheet as the reader sees it: the rows, and nothing they can change.
The page shows the name of the sheet, a small read-only label, the number of rows, and the rows themselves. There is nothing to type into and nothing to press that changes the sheet.
Files and pictures kept in the sheet are not handed out. In their place the reader sees only the name of the file, in a dotted box.
The page shows the sheet as it is at the moment it is opened. If you change the sheet, a person who opens or reloads the link sees the new rows.
A long sheet is shown a part at a time, with links at the bottom to go to the next and the previous rows.
Tick boxes show as a tick or a dot. Web addresses in a link column can be clicked.
Titles of notes stuck to a row are shown as plain words. The notes themselves stay private.
Times in date columns are shown in UTC, the world standard time, and the page says so. They can look a few hours different from Indian time.
If the link no longer works, the reader is told why in plain words: This link has been turned off when you revoked it, This link has expired when its time ran out, or This sheet has been deleted.
Use this to send one file, for example the wedding invitation as a PDF, to people who do not use Flicx Sheet.
Where to find itLibrary›the file's menu›Share
Open the Library and find the file.
Open the file's menu and choose Share. If the file is already open on screen, press the Share button there.
Choose how long the link should work: never expires, expires in a day, expires in a week or expires in a month.
Click New link. The link is copied for you, and a strip says Link ready.
The window works like the one for a public sheet. Each link shows when it was made, how many times it was opened and when it expires, with buttons to copy it and to revoke it. On a phone, tap the file's menu and then Share.
The person who opens the link sees a page with the file on it. Pictures, PDFs, videos, sound, text files and notes are shown on the page itself.
At the top of that page are two buttons: one copies the link, the other downloads the file.
A kind of file that a browser cannot show, such as a Word file, gets a line saying so and a Download button.
The page shows the file's name, its kind and its size, and the line Shared with you from a Flicx Sheet library.
Please noteOnly files kept in the Library itself can be shared this way. A file that sits inside a cell of a sheet cannot. The window tells you so if you try.
Please noteWhen you send a file link in a chat app, the chat app may show a small picture of the file. Revoking the link removes that picture from Flicx Sheet, but a copy the chat app has already kept for itself is out of anyone's reach.
After some months you may not remember what you have shared by public link. The Shared links window lists every public link to a file or a sheet that you have made, in one place, so that you can check them and take any of them back.
Where to find itTop bar›the globe button
Shared links: every public link to a file or a sheet, with the way to take it back.
Click the globe button at the top right. The small number on it is how many of your links are working right now.
Choose Live for links that work now, Expired for links whose time ran out, or Revoked for links you took back. Then click a link in the list.
Press Copy to copy the link, Show to see the whole link, or Revoke to stop it. Below the buttons you see when it was made, how many times it was opened, and when it expires.
Most of each link is hidden behind dots, so that someone looking over your shoulder cannot read it. Copy works without showing it.
A sheet's link also shows which project the sheet is in.
On a phone the same list comes up from the bottom of the screen, with small buttons on each link to show, copy and revoke it.
Please noteThis window lists public links to sheets and to Library files. Share links to a project are managed in the Share window of that project. Links to to-do lists, notes workbooks and Quick Fill forms are managed where you made them.
A to-do list and a notes workbook can each be shared by a link that anyone can open to read, without signing in.
A to-do list. For example, the packing list for a family trip to Ooty.
Open To-do. Open the menu of an activity or of one list and choose Share…. An open list also has a Share button at its top.
Choose how long the link should work: Never expires, 1 day, 1 week or 1 month.
Press Create link. The link is copied for you.
Sharing an activity shows every list in it. Sharing one list shows only that list. The reader sees the ticks, the due dates and people's first names. Notes and files on the to-dos stay private. The window shows a small picture of exactly what the link will show, and each link has a bin button to revoke it.
A notes workbook. For example, the recipes you have collected for the family.
Open Notes. Open the workbook's menu and choose Share workbook….
Choose Never expires, 1 day, 7 days or 30 days.
Press Create link.
Anyone with the link can read every note in that workbook. Nobody can edit. The reader's page is headed Shared workbook · read only. To stop the link, click the bin button beside it.
A single note can be shared too. Open the note's menu and choose Share by link. This opens the same window as a Library file, with the same four time limits.
See To-do and Notes for the rest of what these can do.
Can someone with a view-only link change my sheet? No. A viewer can read every sheet in the project and change nothing. Only an editor can make changes.
I shared one sheet by public link. Can they see my other sheets? No. A public link shows that one sheet and nothing else in the project.
I invited someone to a project. Can I hide one sheet from them? No. Inviting a person, or giving a share link, gives the whole project. To show only one sheet, use a public link, or share that one sheet with a team.
Does the other person need a Flicx Sheet account? For a public link to a sheet, a file, a to-do list or a notes workbook, no. For a share link to a project, yes: they sign in when they open it.
I sent a link to the wrong person. What do I do? Revoke the link. A public link stops working at once. For a project share link, also remove the person from the list under the link if they have already joined.
Can I change how long a public link works after making it? There is no button to change it. Revoke the link and make a new one with the time you want.
Can I see who opened my public link? No. You see how many times it was opened and when it was last opened, not who opened it.
How do other people fill in my sheet without seeing it? Make a form. See Quick Fill forms.
