Projects and sheets
How to make a project, add sheets to it, find them again in the list on the left, rename or delete them, and write down what a sheet is for.
What a project is
A project is a folder that holds sheets that belong together. A sheet is one list, with rows and columns.
Think of a wedding. You need a guest list, a budget and a list of vendors. Each of these is a sheet. Together they go into one project called Wedding plan. Your shop is a different matter, so it gets a project of its own.
- A project for a wedding: Guest list, Budget, Vendors.
- A project for a kirana shop: Stock, Suppliers, Daily sales.
- A project for a tuition class: Students, Fees, Attendance.
- A project for your house: Monthly expenses, Repairs, Bills.
Every sheet lives inside a project, so you always make the project first. When you share a project with someone, they get all the sheets in it. See Sharing.
Make a project
Where to find itTop bar›Sheets›New project
- Press Sheets in the top bar, then press the green New project button at the top of the list on the left. A small box opens. Type a name in Project name, for example
Wedding plan. - Press Create.
The new project opens straight away. It has no sheets yet, so the page asks you to add one. The next part explains that page.
TipOn a phone, tap Sheets in the bottom bar, then tap the round green button with a plus sign at the bottom right.
Add the first sheet to a project
An empty project shows a page called Add a sheet. It gives you five ways to begin. Choose the one that matches what you have in hand.
- Drop any file: drag a file from your computer and let go of it over the dotted area. Or click the dotted area and choose the file.
- Blank: start an empty sheet and type everything yourself.
- From a file: choose a PDF, a document or a picture. Flicx Sheet finds the tables in it.
- Zoho: bring in a sheet from Zoho Sheet by pasting its link.
- Scan: take a photo of a paper list or a bill with your phone, and have it read into a sheet.
| You have | Do this |
|---|---|
| Nothing yet. You want to type a new list. | Press Blank. Type a name for the sheet, for example Guest list, and press Create. |
| An Excel or CSV file | Drop it on the dotted area. It becomes a sheet as it is. |
| A PDF, a Word file or a photo that has a table in it | Drop it on the dotted area, or press From a file. |
| A sheet in Zoho Sheet | Press Zoho and paste the link. |
| A list written on paper | Press Scan. A square code appears. Point your phone's camera at it and take the photo on the phone. |
Bringing files in has its own chapter, with every step: Bringing data in and taking it out. Reading paper with the camera is in Scanning.
TipA blank sheet is the easiest way to learn. Make one, then read Working in a sheet to see how to type in it.
The list on the left
On a computer, the Sheets tab always shows a panel on the left called Projects. It lists every project, and under each project its sheets. This is how you move from one sheet to another.
- New project makes a new project.
- Each project has a small arrow in front of its name. Press the arrow to show or hide the sheets of that project. Press the name to open the project.
- Press a sheet to open it. The sheet that is open is shown in green.
- Move the mouse over a project or a sheet and three dots appear at the end of the line. Press them for more choices, such as renaming and deleting.
- New sheet adds a blank sheet to the project that is open.
- Two small people at the end of a line mean that someone else shared this project with you.
- You can open the arrow of another project and press one of its sheets directly. You do not have to open that project first.
- When you have more than six projects, a box called Find a project or sheet appears under New project. Type a few letters to shorten the list.
- To give the sheet more room, press the small arrow at the top right of the panel. The panel folds away into a thin strip. Press the button at the top of the strip to bring it back.
- The small folder button at the top of the panel takes you to the Library.
Please noteThe three dots on a sheet are shown only for the sheets of the project that is open. Open the project first if you do not see them.
Add more sheets to a project
A project can hold as many sheets as you need. Once it has its first sheet, add more like this.
- Open the project by pressing its name in the list on the left.
- Press New sheet at the bottom of that project's sheets.
- Type a name in Sheet name, for example
Budget. - Press Create. The new blank sheet opens.
To make sheets from a file you already have, press the three dots beside the project or beside any of its sheets and choose Sheets from a file…. See Bringing data in and taking it out.
Rename or delete a project or a sheet
Names can be changed at any time. Nothing inside the project or the sheet changes when you rename it.
- For a project: move the mouse over it, press the three dots, and choose from the menu.
- For a sheet: open its project, move the mouse over the sheet, press the three dots, and choose from the menu.
| Choice | What it does |
|---|---|
| Rename… | Opens a small box. Type the new name and press Save. |
| Share… | Lets other people see or change the project. See Sharing. |
| Purpose and notes… | Write down what the sheet is for. It is explained below. |
| Sheets from a file… | Makes new sheets from the tables found in a file. |
| Replace from a file… | Throws away every sheet in the project and puts the sheets of a new Excel file in their place. See Bringing data in and taking it out. |
| Delete project | Removes the project and every sheet in it. |
| Delete sheet | Removes this one sheet. |
Before anything is deleted, Flicx Sheet asks you once more.
Please noteDeleting cannot be undone. A deleted project takes all its sheets with it. If you may need the data later, save each sheet as an Excel file first with Export. See Bringing data in and taking it out.
You can rename, share and delete only your own projects. A project that someone shared with you does not show the three dots. In such a project you can rename or delete a sheet only if you were allowed to make changes.
Write down what a sheet is for
After a few months it is easy to forget what a sheet was for, or how a column should be filled. Every sheet has a place to write this down. Other people who open the sheet can read it, and Flicx Companion reads it too, so it understands your sheet better.
Where to find itSheets›three dots on a sheet›Purpose and notes…
- Purpose: one or two lines on what the sheet keeps track of.
- Sheet notes: anything worth remembering about the sheet. For example, where the numbers come from, or who to ask before changing them.
- Notes: full notes that belong to this sheet. Press the dotted tile with the plus sign to write a new one. Press a note to open and read it.
- Press Save to keep what you typed in Purpose and Sheet notes.
TipThere is a second way to open this box. Above the open sheet, press the small round button with the letter i in it.
A note opened from the Notes row saves itself as you write. Press the arrow at the top left to go back. More about notes is in Notes.
If you can only view a sheet, you can read all of this but not change it. The button at the bottom then says Close.
The Overview page
When you have just opened Flicx Sheet on a computer and have not opened a project yet, the Sheets tab shows a page called Overview. It is a quick look at everything you have.
- New project makes a new project, the same as the button in the list on the left.
- The banner greets you and names the sheet you worked on last. Press Continue to open that sheet again. Schedules, Notes and Ask Companion take you to those parts of the app.
- The four boxes show the sheet you worked on last, how many projects and sheets you have, and how much of your file space is used.
Lower on the page you will find:
- Activity, last 14 days: a small chart of how many sheets were edited and created on each day.
- This week: what is on your calendar today, your open to-dos and your meetings. Press Open Schedules to see the full calendar.
- Shared with your teams: sheets and projects that your teammates have shared. Press one to open it. This part is shown only when there is something shared.
To leave the Overview, press any project or sheet in the list on the left.
Projects and sheets on a phone
A phone shows one thing at a time. So you go step by step: first your projects, then the sheets of one project, then the sheet.
- Tap Sheets in the bottom bar. You see your projects. Tap a project.
- You see the sheets of that project. Tap a sheet.
- The sheet opens. To go back one step, tap the arrow pointing left at the top.
- The round green button with a plus sign makes a new project on the first screen, and a new blank sheet on the second.
- A project that someone shared with you has a small label beside its name: VIEWER if you can only look, EDITOR if you can also make changes.
- Tapping Sheets in the bottom bar again takes you one step up, from a sheet to its project and from there to the list of projects.
- Renaming and deleting are done on a computer, from the three dots in the list on the left.
Common questions
Can I have a sheet without a project? No. Every sheet is inside a project. If you have only one list, make one project for it.
I cannot see the three dots. Move the mouse over the line and they appear at the end of it. For a sheet, open its project first. For a project that was shared with you, there are no three dots.
I cannot see New sheet. It is shown only under the project that is open, and only if you are allowed to make changes in it.
The list on the left has gone. It is folded away. Press the button at the top of the thin strip on the left edge to bring it back.
I deleted a sheet by mistake. Can I get it back? No. Deleting cannot be undone. This is why the app asks you once more before it deletes.
