The Library: your files
The Library keeps every file you put into Flicx Sheet: photos, PDFs, scans and documents. This chapter shows how to add files, put them in folders, look at them, edit a picture and find a file again.
What the Library is
The Library is the cupboard of Flicx Sheet. Every file you add to the app is kept here, so you never have to hunt for a bill, a photo or a certificate again.

The Library has two parts. You see both in the list on the left.

| Projects | Files that are attached to your sheets. For example, the photo of a receipt that you put in a row of your Budget sheet. They are arranged by project, then by sheet. You do not add files here directly: they come from the sheets. |
| General | Files you put in the Library yourself. Here you can make folders and arrange things the way you like. Some messages in the app call this part My files. It is the same place. |
- The list on the left shows Projects and General, with the folders under each. Click a name to open it. The small number beside a name is how many files are inside.
- The path shows where you are now, for example General / Bills. Click an earlier name in the path to go back up.
- The small buttons at the top right are for adding things, and for changing how the Library is shown.
- The tiles are your folders and files. Click a tile to open it.
TipOn a phone, tap More at the bottom and then Library. Folders and files are shown as a list, one under the other, in place of tiles. Tap Projects or General first, then go into a folder.
Adding files
Put a file in the Library when you want to keep it safe and reach it from any device: the house tax receipt, your child's mark sheet, the photo of a visiting card.
- Open General in the list on the left, and then the folder you want the file to go into.
- Press the Upload button. It is the green arrow at the end of the row of small buttons.
- Choose one file, or many files together, from your computer.
- Wait for the message that says the file was added. It now shows as a tile.
TipYou can also drag files from your computer and drop them on the tiles area. This works only inside General.
On a phone, open a folder inside General and tap the round button named Add to this folder. A sheet opens with three choices.

Please noteThe Upload button is not shown while you are inside Projects. Files reach that part only through a sheet: add an Image or Document column to the sheet and attach files to its cells. See Columns.
Folders: make, rename, move, delete
Folders keep files that belong together in one place: one folder for bills, one for school papers, one for the wedding. You can put a folder inside another folder.
To make a folder:
- Open General, or a folder inside it.
- Press the New folder button, the folder with a plus sign in the row of small buttons.
- Type a name, for example
Bills. - Press Create.
Everything else you do to a folder is in its three-dot menu.
- Move the mouse over the folder tile and press the three dots at its top right corner. On a phone the three dots are always shown.
- Choose what to do: Open, Rename…, Move to… or Delete folder.
- If you chose Move to…, click the place the folder should go, then press Move. General at the top of that list means outside all folders.
Please noteDelete folder also deletes every file inside the folder. The app asks you first and tells you how many files are inside. This cannot be undone.
Folders of Projects are your projects and sheets, so they cannot be renamed, moved or deleted from the Library. Their menu has Open and, for a sheet, Open in workspace, which takes you to the sheet itself.
The row of small buttons
The buttons at the top right of the Library have pictures and no words. Hold the mouse over one to see its name. This is what each one does.

Buttons 2, 3 and 4 are shown only inside General. When a sheet is open under Projects, one more button comes first: Open the sheet, which takes you to that sheet.
Working with many files at once
When you want to delete ten old photos, or join a few photos into one PDF, choose them all first.
- Move the mouse over a tile and click the small tick box at its top left corner. You can also hold the Ctrl key and click the tile.
- Tick the other tiles you want. To take a whole run of tiles, tick the first, hold the Shift key and click the last.
- Look at the bar that has appeared above the tiles. It says how many are selected.
- Press Delete to remove them all. Or press Make PDF to join the selected pictures into one PDF, one picture on each page.
The same bar has Select all, to take everything on screen, and Clear, to let go of the selection without doing anything. Make PDF is shown only when at least one picture is selected. The new PDF is saved beside the pictures.
The Gallery: every file by date
Sometimes you do not remember which folder a file is in, only that you added it last week. The Gallery shows every file in one roll, newest first, under the day it was added.

- Choose a kind of file to see only that kind: All, Photos, Videos, PDF, Notes or Other.
- Files are grouped by day: Today, Yesterday, then the date. Click the circle beside a day to select every file of that day.
- Click a file to open it. The circle at its top left corner selects it. Once one file is selected, a click on another file selects that too.
- Press the three dots on a file, or right-click it, for its menu: Open, Select, Edit for a picture, Edit PDF for a PDF, Rename and Delete.
When files are selected, a bar shows how many, with Make PDF and Delete. Press the cross on that bar to let go of the selection.
The Search every file box at the top finds files by name as you type. The button with the small triangle beside it starts a Slideshow. To go back to folders, press Folders in the switch.
TipOn a phone, tap the Gallery button beside the search box of the Library. To go back, tap the Folders button at the top left of the Gallery.
Opening a file to look at it
Click any file and it opens as a preview over the page. You can read it without saving it to your computer first.
- Use the buttons in the top bar. Share makes a link for a file kept in General. Save saves a copy to your device. Open opens the file in a new tab of the browser.
- For a picture, press the three dots in the top bar.
- Choose Edit to crop or clean the picture.
Press the cross at the top right, or click outside the file, to close the preview.
These kinds of file are shown right inside the app:

Other files, such as Word, Excel and PowerPoint files, cannot be shown inside the app. For these the preview shows the file's name with two buttons, Save and Open. Save the file and open it in the app that made it.
Editing a picture
A photo of a paper is often tilted, or has the table and your fingers around it. You can cut away the extra part, turn the picture and make the writing clearer, without leaving the Library.

- The editor opens on the Crop step. The name of the picture is at the top.
- Drag the four round corners until the frame holds only the part you want to keep. Auto detect finds the edges of a page for you. Full image takes the frame back to the whole picture. Left and Right turn the picture.
- Press Next.
- Choose a look: Original leaves the picture as it is, Enhance and Magic make a page brighter and clearer, Grayscale removes the colour, and B&W makes it pure black and white.
- Press Save.
The app then asks how to save the edited picture.

Please noteA picture that is attached to a sheet cannot be replaced from the Library. Its edit is always saved as a copy, in the folder Scans.
Finding a file
You do not have to open folders one by one. Type a word in the search box and the Library looks through every file you have, in General and in your sheets, wherever you are standing.
- Click Search the Library and start typing a word from the file's name. You can also type the name of the sheet or project a file is attached to.
- Look at the suggestions under the box. Each shows the file's name and where it is kept. Click one to open it.
- A suggestion marked Close in meaning was found by what the word means, not by its letters. Typing
billcan find a file named Electricity March. These come a moment after the others.
All the finds are also listed as tiles below, each with its place written under its name. To stop searching, clear the box.
Two more things narrow down what you see in a folder:
- Type shows only one kind of file: Image, PDF, Word, Text, HTML, Spreadsheet, Presentation, Note or Other. Choose All types to see everything again.
- Sort arranges the files by Name, Newest first, Largest first or Type.
TipOn a phone, the search box looks inside the folder that is open. Tap the button beside it, named Type and order, for the same two choices.
Common questions
Why is there no Upload button? You are inside Projects. Click General in the list on the left and the button comes back.
Why can I not rename or move this file? It is attached to a sheet, so it lives in that sheet's cell. Open the sheet with Go to sheet and change it there.
Is General the same as My files? Yes. The Library names this part General. Some messages and windows in the app call it My files.
Where did my scan go? Scans are saved in a folder named Scans, at the top of General.
Can I get a deleted file back? No. The app asks before it deletes, and after that the file is gone for good.
I see a folder called Live captures. What is it? Photos taken with the Camera of the phone app, or with Take pictures with your phone, are kept there when no other folder is chosen.
