Settings and your account

How to change your name and picture, choose the microphone and camera for calls, see how much space your files take, keep the app up to date, and what to do when something goes wrong.

Open Settings

Settings is where you change things about yourself and about the device you are using. You will not need it every day. Come here when something needs changing.

Settings on a computer, open on Account.
  1. On a computer, Settings opens as a box over your work. The list on the left has its parts. Press one to see it on the right.
  2. Upload a picture and Remove change your picture.
  3. Or pick one has ready-made pictures.
  4. Name is what other people see you as. Mobile number is there if you want to add it.
  5. Save keeps a new name or number.

To close Settings on a computer, press the cross at the top right, press the Esc key, or click outside the box. Your work is still there behind it.

Settings on a phone

On a phone, Settings is a list. Tap a line to go into that part.

  1. Tap your picture in the top bar, then Settings. The arrow beside the heading takes you back.
  2. The card at the top is your account. Tap it to change your name, number or picture.
  3. App lock is shown only in the Android app.
  4. Each line shows what it is set to on the right, so you can often see the answer without going in. For example, Storage shows how much space is used.

Inside a part, the heading changes to its name, such as Calls. Tap the arrow beside it to come back to the list.

Your name, number and picture

Your name and picture are how other people recognise you: in a shared sheet, in a team and in a call. Set them once, so that you are not just an email address to others.

To change your picture:

  1. Press Upload a picture and choose a photo from your device. Or press one of the round pictures under Or pick one.
  2. The picture changes straight away. You do not have to press Save.
  3. To go back to having no picture, press Remove.

To change your name or mobile number:

  1. Type in Name. This is what people will call you.
  2. Type your phone number in Mobile number, if you want to. You can leave it empty.
  3. Press Save. The button can be pressed only after you have changed something.
  • A picture you upload is also kept as a file in your Library.
  • Your email address is shown under your name. It is the address you signed in with, and it is not changed here.
  • There is no box for a password in Settings. To choose a new password, sign out and use Forgot password? on the sign-in page. See Getting started.

This device

This part is about the phone or computer in your hand, not about your account. What you see depends on how you opened Flicx Sheet.

Microphone, camera and speaker for calls

If your computer has more than one microphone or camera, for example a headset as well as the one built into the laptop, you can tell Flicx Sheet which one to use in a call.

Choosing what a call uses.
  1. Microphone: what the others hear you through.
  2. Camera: what the others see you through.
  3. Speaker: where you hear the others. This box is shown only where your browser lets the app choose it.
  • System default means: use whatever your phone or computer normally uses. Leave it there if calls work well.
  • A change here is used the next time you join a call. It does not change a call you are already in.
  • If you see Names are hidden until this browser has been allowed a microphone, press Allow and show names and say yes when your browser asks. The boxes then show the real names of your devices.
  • If you chose a headset earlier and it is not plugged in now, the box says Chosen earlier, not connected. Your choice is kept for when you plug it in again.

How much space your files take

Photos, PDFs and other files that you add take up space. Each account has a fixed amount of space. This part shows how much of it you have used.

Space used, and which project uses the most.
  1. The bar shows how much is used out of how much you have. It turns red when it is almost full.
  2. Media storage by project lists your projects with the pictures and documents kept in their cells, the biggest first.
  • Files in the projects you own are counted as yours, even when someone else added them.
  • When the space is full, new files cannot be added. Delete files you no longer need, in the sheet or in the Library, to make room.
  • If you see Uploads are switched off for this account: files cannot be added, an administrator has stopped new files for your account. Ask them about it.

TipOn a computer, the Overview page shows the same number in a box called Media storage.

App lock and Camera sync, in the Android app

These two are shown only in the Android app, because they use things only a phone has: its fingerprint reader and its photo gallery.

  1. App lock asks for your fingerprint every time the app opens, so nobody else who picks up your phone can read your sheets. It is on the first screen of Settings. Switching it on or off asks for your fingerprint.
  2. Sync camera photos copies every new photo your phone takes to a folder called Camera roll in your Library. Tap Camera sync in Settings to find it. The first time, allow Flicx Sheet to see your photos when the phone asks.
  3. Only on Wi-Fi makes it wait for Wi-Fi, so that it does not use your mobile data.
  4. Sync now sends the new photos straight away. History shows what was sent, and when.
  • If App lock says to add a fingerprint or a screen lock in the phone's Settings first, your phone has no lock yet. Set one up on the phone, then come back.
  • Switching Sync camera photos off stops sending new photos. Nothing is deleted, on the phone or in the Library.
  • If you delete one of these photos in your Library, the app tells you that it is still on the phone, and asks: Keep or Delete from phone.

File Explorer, in the Windows app

In the Windows app, Settings has a part called File Explorer. It puts your Flicx Library in Windows File Explorer as an ordinary folder.

Press Add Flicx Library to this PC, read what it will do, and press Allow and add. The full steps, and how to remove it again, are in On your phone and computer.

Your version, and keeping up to date

Flicx Sheet is improved often. A newer version brings fixes and new things, so it is good to take it when it is offered.

  1. Press Check for updates to ask whether there is a newer version.
  2. Up to date. means you have the newest one. If there is a newer one, its name is shown instead, with a button under it.
  3. When a new version comes out while you are using the app, a notice appears at the bottom of the screen: New version available. Press Reload.

  • The app never reloads by itself. It waits for you to press the button, so nothing you are typing is lost. Finish what you are typing in a cell first.
  • The cross on the notice puts it away for now. Settings, About still shows that a newer version is waiting.
  • Version, Built and Platform say exactly which copy of the app you have. If you ask someone for help, tell them what is written there.

Companion credits

Some things are done for you by Flicx Companion: answering a question, reading a bill from a photo, finding the tables in a PDF. Each of these uses credits.

  • Your credits are not shown in Settings. They are shown at the top of the Flicx Companion window, for example 48 credits.
  • When they run out, Flicx Companion says so and offers a button to ask an administrator for more.
  • The answer comes to the bell in the top bar.

Sign out

Signing out closes your account on this device, so that the next person who uses it cannot see your sheets. Do it on any phone or computer that is not your own.

  1. Press your picture at the top right.
  2. Press Sign out.

You see the sign-in page again. Nothing is deleted. Your projects, sheets, notes and files are all there the next time you sign in, on this device or any other.

If something goes wrong

Most problems are fixed by loading the page again. Try these in order, from the top.

Three buttons that fix most problems.
  1. Refresh. Press the button with two arrows going round in the top bar. It loads again whatever page you are on.
  2. Sync. If a strip says This sheet was changed on another device., press Sync on it. The sheet then shows the changes you made on your other device.
  3. Try again. If a sheet shows Could not load, read the message under it and press Try again.
What you seeWhat to do
A sheet or a list looks old, or a change is missingPress Refresh in the top bar. On a computer there is also a small Reload sheet button above the sheet.
A message appears at the corner of the screen and goes awayThat is how the app tells you what happened. If it says something could not be done, try once more. Check that your internet is working.
A notice says New version availablePress Reload. An old version can behave oddly once a new one is out.
Something still behaves oddlyOpen Settings, About and press Check for updates. Then sign out and sign in again.
You cannot sign inCheck the email address. Use Forgot password? on the sign-in page to choose a new password.
The reset link says it has expiredAsk for a new one, and open it in the same browser you asked from.
A photo or a file cannot be addedOpen Settings, Storage. Your space may be full, or uploads may be switched off for your account.
Nobody can hear you in a callOpen Settings, Calls and choose the right Microphone. It is used from the next call you join.
A page says your account has been disabledAn administrator has switched it off. Your projects and files are kept. Ask them to switch it on again.
File Explorer in the Windows app shows Not syncingRead the reason shown there. Press Sync now, or Sign this PC in again if that button is shown.
A notice about Zoho appearsSee Bringing data in and taking it out.

TipIf you need to ask someone for help, tell them three things: what you pressed, what the message on the screen said, and the Version written in Settings, About.

Common questions

Can I change the email address of my account? Not in Settings. The email shown there is the one you signed in with.

Is there a setting for light and dark colours? No. There is no such switch in Settings.

Is there a setting to switch notifications off? No. Settings has no part for notifications. The bell simply shows what has happened. See Getting started.

Can I delete my account in Settings? There is no button for that in Settings. You can delete your own projects, sheets and files whenever you like.

I closed the offer to install. How do I get it back? Open Settings, This device. The offer is always there.

Do my settings follow me to another device? Your name, number and picture do. The choices in Calls and This device are for the device you made them on.
